January paychecks reflect slight formatting changes

 

This month when employees receive their paychecks, they might see some very slight differences. This is the first month SAP is being used to run the systemwide payroll. Rest assured, your hard-earned money will all be there, but it might be reported in a slightly different format from what you’ve seen in previous paystubs. You might see some minor differences in the amounts because of a different way of calculating taxes or rounding, but overall, there should not be a big, noticeable change. 

 

The format changes are small, but they provide more information showing exactly how much you were paid and where any withheld money went. Here’s a snapshot of what you’ll see.

 

·         “Person ID” now is used as your employee identification number.

·         Filing status, as well as number of exemptions/withholdings, is included.

·         Gross pay is shown, as well as the total taxes and deductions subtracted to calculate net pay.

·         Payments or deposits to bank account(s) are more clearly identified.

·         Taxes and other deductions are more clearly identified.

·         Hours of used leave time are shown as well as any remaining leave time.*

Salaried, non-exempt employees do not need weekly timesheets

 

There’s been some confusion as to whether salaried, non-exempt employees should complete timesheets each week. These “Follow Me to SAP” newsletters reported ‘no,’ while a Time Management and Payroll FAQ document said ‘yes.’ It was an easy mistake and one we can easily correct.

 

And the answer is…no. Salaried, non-exempt employees do not need to complete a timesheet each week unless they work additional hours. This requirement does not impact custodians, school nutrition workers or other employees that are paid bi-weekly, and does not impact previous instructions on reporting of absences.

Reminder of Production labs beginning this month

 

Starting the end of January and continuing each month afterward, production labs will be available for the FICO, Logistics and HCM functions of SAP. This is an opportunity for employees to use SAP in a controlled environment and get help.

 

Dates for January are:

 

·         Friday January 25, 9 a.m. to 4 p.m. – PLC South

·         Monday, January 28, 9 a.m. to 4 p.m. – PLC North

   

Quick Tip for the Week

 

A hotline – 404-763-5728 – has been launched to handle anticipated payroll calls as HCM implementation continues. It will be in place for 60 days during January and February.
