This e-newsletter is sent each week during SAP implementation to keep SAP users aware of special dates, trainings and other important need-to-know news. Consider this your “One Stop Shop” for SAP news!

    

Production labs to begin this month

 

Starting the end of January and continuing each month afterward, production labs will be available for the FICO, Logistics and HCM functions of SAP. This is an opportunity for employees to use SAP in a controlled environment and get help.

 

Dates for January are:

 

·         Friday January 25, 9 a.m. to 4 p.m. – PLC South

·         Monday, January 28, 9 a.m. to 4 p.m. – PLC North

 

HCM Time Keeper and Time Approver Labs

 

Labs specifically for timekeeping assistance also are being hosted this month. Instructors will be on hand to give assistance and answer questions. Don’t be shy…if you need help, get it!

 

·         Friday, January 18, , 9 a.m. to 5 p.m. – PLC North and PLC South

·         Tuesday, January 22, 9 a.m. to 5 p.m. – PLC North and PLC South

 

School system highlighted for successful SAP implementation

 

Fulton County Schools is featured in the January 2008 issue of District Administration as a school system successfully transitioning to an Enterprise Resource Planning system. SAP is an ERP system, and Fulton County Schools’ SAP implementation also is the subject of an another national article being published later this year.

 

Keep Person IDs and passwords secure

 

A reminder to all SAP users:

 

Do not share your Person ID or password to anyone, or allow a colleague to log on to SAP under your identity. Any transactions made in SAP will be linked to you, and this includes any mistakes – some which may be serious – that an employee untrained in the SAP system might make.

 

Fulton County Schools is committed to and supported by Board policy that maintains authorized-only use of its information systems. Individuals who fail to follow these guidelines will have their access to SAP removed.

 

SAP News Briefs

 

Time Management FAQs and Dates & Deadlines. Time Management is one of the first changes employees notice during the HCM phase of SAP implementation. This FAQ document addresses many questions being asked and this guide outlines important dates and deadlines.

 

Time Sheet Reference Guide. Salaried, Non-Exempt employees no longer need to complete weekly time sheets unless they work additional hours. This requirement does not impact custodians, school nutrition workers or other employees that are paid bi-weekly, and does not impact previous instructions on reporting of absences. For clarification, please refer to the Quick Reference Guide.

 

Payroll Call Center. A hotline – 404-763-5728 – has been launched to handle anticipated payroll calls as HCM implementation continues. It will be in place for 60 days during January and February. 

 

SAP Training. If you need training in any of the SAP applications, email Gwen Davis so that she can reserve a place for you in an upcoming training.

 

Quick Tip for the Week

 

Time keepers – Your colleagues may look to you for help finding their Person IDs. You can use transaction PA20 to search for an employee’s Person ID. Please do not refer Person ID look-up calls to the SAP Help Desk!
