Workflow functionality improved

 

Workflow, the SAP functionality that allows you to track requisitions throughout the requisitioning process, was implemented in February. Several known issues have surfaced since that time, such as requisition approvers not being able to view and approve a requisition.

 

Several FCS SAP supporters have collaborated with the SAP project team to design and test a solution better tailored to fit our FCS requisition processes. 

 

Currently, a redesigned Workflow is available. You will now be able to:

 

  • Review and approve requisitions
  • Review and reject requisitions
  • Track requisition through multiple approval levels (if applicable)
  • Track requisition through automated release and routing to contracting department for conversion to purchase order

 

Coming soon, SAP/Microsoft Outlook notifications will be operational for approvals. In the meantime, you will need to use the SAP transaction “ME54N.” You will be notified when the notifications issue has been resolved.

Time entry training available for summer school principals

 

Next week, the SAP Project Training Team will begin teaching timekeeping courses exclusively to summer school principals at both the North and South Professional Learning Centers.

 

This training will include updates on summer school timekeeping methods and attendees will have the opportunity to practice in the new system. The courses are in myPDC, so all summer school principals should go there to register. 

 

  •  Wednesday, May 7, 9–11 a.m. – PLC South 
  •  Wednesday, May 7, 1–3 p.m. – PLC South 
  • Friday, May 9, 9–11 a.m. – PLC North (Milton Center)

Quick Tip for the Week

 

When placing your next requisition using SAP, remember to enter:

 

  • Storage location – Similar to our current process, the storage location is the department that encumbers the funds. In other words, in the storage location field you will enter a code for the department that pays for the goods/service ordered.
  • Ship to – Enter a ‘ship to’ location if, and only if, the goods/services are to be delivered to a department other than the department originating the requisition.
